About the Email Center
The Email Center displays client related emails sent by CCH iFirm and some important internal emails.
There are two security roles applicable to the Email Center:
- Email Center - View header info and resend is a limited role. It allows users to access the Email Center, view the header information of the list of emails, and resend bounced emails.
- Email Center - View email content and resend is a full access role. It allows users to access the Email Center where they can view the header information for emails, view the content of emails and resend emails.
To access the Email Center, click Settings > Email Center.
The types of emails that are displayed may include: invoices and statements sent to clients from Practice Manager, registration requests sent from Client Portal and internal emails sent by CCH iFirm to its users, such as when a new user is added or when a password is reset, client note reminders and Practice Manager progress alerts.
All emails have a status. When a user clicks the Send button on an email form, a row is added to the Email Center grid and the email status is set to Pending. As soon as the email service has reported that the email was sent, the status is changed to Sent. If the email is bounced back, the status is changed to Bounced. If CCH iFirm determines that the email address is not valid, the status is set to Invalid.
You can search for emails sent to a specific contact and you can expand the search box to filter the grid by Category, so you can see the emails that are most relevant for you.
The All tab displays the current selection of emails of all statuses. The Bounced tab only shows emails with the status of Bounced, so you can easily see what needs to be resent and then resend the emails in bulk.
You can click on any column header to sort the emails by that category.
- Date Sent - the date and time of when a user clicked the Send button on the email form. The list is in descending order.
- Category - shows the area of CCH iFirm that the email was sent from. For example, emails created in Practice Manager > Invoices will be shown here as Invoices.
- Name - the name of the contact in CCH iFirm to whom the email was sent to. You can click on the name to open the contact record.
- Sent To - the email address(es) that the email was sent to.
- Subject - the information from the subject field of the email.
- Status - the status of the email
